Who can use the Community Room?

Anyone! The Community Room (CR) is a town facility, free and available for public use.

Do I need a reservation to use the Community Room?

Room use is subject to availability, so to guarantee access, you will need a reservation. Reservations are available to groups or events with an expected minimum attendance of 3 people for half the room or 10 people to reserve the full room. However, if you just need a quiet place to work in the library, incidental walk-in use is allowed if the room is not reserved or already in-use. Please sign-in and out at the library circulation desk, and remember to leave the room as you found it.

How frequently can I make reservations to use the Community Room?

In order to provide equitable access to this popular public resource, each group may reserve the Community Room up to two times per month. Walk-in requests when the space is not otherwise being used are exempt from this stipulation.

What can the Community Room be used for?

The Community Room can be used for meetings, presentations, classes, clubs, groups meetings, and more. No admission fees or sales allowed. The community room is also not intended as a private office in which to make or receive calls or video conferences as an individual. Social events, such as weddings, birthdays and retirement celebrations are not allowed in the CR. Contact Winthrop Red Barn for party events. For as-needed private office space there are multiple co-working spaces in the valley that offer both short- and long-term memberships.

When can I use the Community Room?

7 days a week, between 7 am and 9 pm (except Sunday and Monday when the room is closed for cleaning from 7:00 – 11:00 am). Walk-in reservations are only accepted during library open hours. In order to use the Community Room outside library hours, you must check out a key during library open hours. 

How do I get into the building if my reservation takes place outside of library hours?

You are responsible for checking out a key binder if your reservation begins or ends after library open hours. You check out a key binder from the front desk in the library. You must bring your library card and a photo ID to check out the binder. The library hours are:

How do I find out if the Community Room is available? 

You can check CR availability by looking at the Availability Calendar. Requests are processed on a first come, first served basis: There may be requests in the queue that have not yet been processed and added to the calendar, so the availability you see there is not guaranteed.

I’d like to throw a birthday party/reception/baby shower, etc. Can I do that in the Community Room?

Social events are not allowed in the CR. Contact the Winthrop Barn Auditorium for party events.

What is in the Community Room?

The Community Room has 8 tables with 4 chairs at each. The maximum capacity of the full room is 72 people. There is a hospitality kitchen with a sink, fridge, water heater and coffee maker.

The room can be divided into two smaller rooms (the north and south rooms), with a technical maximum capacity of 36 people. Staff are required to move the wall divider.

The room’s default furniture setup is 8 tables with 4 chairs at each table. There are more chairs are stored on rolling carts in the storage closet outside the north CR entry door. All CR users need to make time in their booking to return the furniture to the default setup before they leave.

What technology is available for my group to use?

Open access Wi-Fi is available throughout the library building. No password is required.

On the north side of the CR is a “Zoom Cart,” which is owned by Wenatchee Valley College. This equipment is available for groups to use at no charge. The Zoom Cart has a 70″ touchscreen monitor and sound bar, and it can be used for video conferencing or presentations.

Library staff will not be available to assist with technology in the Community Room. You are welcome to look for open times in the schedule when you can come in to test out the zoom cart with your device using the instructions in the room. Where is the Community Room located?

The Community Room is in the east side of the Winthrop Library building. After hours, you will access the space through the library main entrance or the CR exterior doors with a key checked out to you. 

How can I reserve the Community Room?

Walk-in reservations are welcome if the space is available. Future reservations are requested through an online Reservation Form, up to 2 months in advance. 

Once I fill out the reservation request form, how soon will someone get back to me?

We try to respond to all requests within 48 hours. That said, our library staff’s first responsibility is to manage the library. Community Room reservations get processed as other tasks allow. Additionally, the library is closed on Sundays and Mondays, and no reservations will be processed on those days.

Is there support staff on site to do setup and breakdown for me?

There is no support staff on site to assist you with setup and breakdown. If you’re in need of event center services, please contact the Winthrop Barn Auditorium.

What if I have facilities issues when the library is closed?

The city handles facilities issues when the library is closed. Please refer to your confirmation email for appropriate contact information. You can also text FOWL at 509-676-0432 . Additionally, the Winthrop Marshals Office non-emergency line is 509-996-2160.
